Event Coordinator / Planner & Sponsorship Lead The Opportunity We are seeking an experienced, highly organized, and polished professional to lead the planning and delivery of events that strengthen client relationships, elevate brand visibility, and support business development objectives. This role is responsible for end-to-end event execution, sponsorship and co-hosting initiatives, marketing coordination, brand stewardship, and the procurement and management of branded merchandise and promotional materials. The successful candidate will be comfortable balancing strategy and execution, moving seamlessly from big-picture planning to precise logistical follow-through. Key Responsibilities Plan, coordinate, and execute a range of professional events, including seminars, executive briefings, roundtables, conferences, networking receptions, partner events, and internal functions. Develop event plans, production schedules, run-of-show documents, guest management processes, and contingency plans to ensure consistent, high-quality delivery. Manage all event logistics, including venue sourcing, catering, audio-visual requirements, decor, registrations, invitations, seating plans, signage, transportation, accommodations, and on-site coordination. Prepare and track event budgets, vendor quotes, contracts, invoices, and reconciliations, ensuring events are delivered efficiently and within approved parameters. Coordinate with internal leaders and subject-matter professionals to align event objectives, content, audience strategy, and execution details. Maintain an annual or rolling events calendar and ensure clear timelines, responsibilities, and status updates for all active initiatives. Lead post-event follow-up, including attendee communications, debrief notes, feedback collection, outcome tracking, and recommendations for continuous improvement. Sponsorship, Partnerships & Business Development Support Identify, cultivate, and support potential co-sponsorship, co-hosting, and event partnership opportunities aligned with organizational priorities and target audiences. Research prospective sponsors, strategic partners, and supporting organizations; maintain a current pipeline of opportunities and outreach activity. Assist in the development of sponsorship packages, proposal materials, briefing notes, recognition plans, and follow-up communications. Manage sponsor and partner deliverables before, during, and after events, ensuring commitments are met and relationships are handled professionally. Support broader business development efforts by identifying opportunities to extend event reach, deepen stakeholder engagement, and enhance return on investment. Marketing, Brand Development & Promotional Materials Support the promotion of events and initiatives through coordinated email communications, digital invitations, social media support, website or event page updates, and related marketing materials. Work with internal teams and external vendors to produce invitations, presentation materials, signage, event collateral, partner recognition items, and branded assets. Help maintain and strengthen brand consistency across events, communications, presentations, merchandise, and public-facing materials. Contribute ideas to improve brand visibility, audience engagement, and event participation through thoughtful campaign execution and promotional planning. Maintain organized inventories of brochures, displays, signage, branded collateral, and event support materials. Swag Procurement & Vendor Management Source, recommend, and procure branded merchandise, event giveaways, apparel, gifts, and promotional items suitable for professional and stakeholder-facing settings. Manage relationships with promotional suppliers, printers, production vendors, caterers, venues, and other service providers. Obtain quotes, compare options, monitor lead times, and ensure purchased materials are delivered on schedule and in keeping with brand standards and budget expectations. Track merchandise inventory, reorder cycles, and distribution for conferences, meetings, community events, and business development initiatives. Qualifications & Experience Minimum 3 years of relevant experience in event coordination, event planning, sponsorship development, marketing coordination, communications, or a comparable role. Demonstrated experience managing multiple projects simultaneously while maintaining exceptional attention to detail, deadlines, and service standards. Strong written and verbal communication skills, with the ability to interact professionally with senior stakeholders, vendors, partners, and guests. Proven organizational and project management abilities, including the capacity to work independently, prioritize effectively, and solve problems calmly under pressure. Experience delivering corporate, professional services, government-adjacent, association, or stakeholder-facing events is strongly preferred. Experience with branded merchandise procurement, vendor sourcing, CRM or contact list management, event registration tools, email marketing platforms, and social media coordination is considered an asset.
